Internet2 Member Meeting Program Committee

Role and Responsibilities

General Charge:

The Program Committee for Internet2 Member Meetings is charged with developing session content for the meetings. "Session content" refers to track sessions, general sessions, BoFs, and other types of sessions open to the meeting attendees. The principle process for developing content is to issue a Call for Proposals several months prior to the meeting. The Committee reviews and evaluates responses and recommends a set of sessions for inclusion in the program. Through the selection of proposal submissions, and in the recruitment of sessions and speakers, the Committee helps ensure that the meeting program is representative of the breadth and depth of work under way across our member community.

Final content is arrived at by consensus wherever possible (the Program Committee Chair will resolve any disagreements). The ultimate responsibility for ensuring that selected sessions are fully specified and speakers are confirmed rests with Internet2.

Specific Responsibilities:
  1. Work with relevant Internet2 staff and others as appropriate to develop guidelines for content and format of meeting sessions within defined track areas.
  2. Determine appropriate mechanisms for soliciting and inviting session proposals.
  3. Review proposals and ideas for sessions, and work with submitters to ensure that sessions correspond to meeting and/or track foci.
  4. Work with session submitters as necessary on format, participation of presenters, title, abstract, and anything else necessary to make the session as effective as possible.
  5. As a group, ensure that the content of the program is focused and coherent.
  6. Advise Internet2 on the inclusion of appropriate and sufficient opportunities for member discussion and interaction.
  7. Provide input and guidance on general sessions, including suggestions for names of keynote speakers and other programmatic content.
  8. Provide input on the overall schedule and flow of program.
  9. Serve as session monitors on a volunteer basis.
Committee Composition:

The Program Committee is comprised of 12-15 representatives from current Internet2 member organizations and across all constituency groups. In addition, representatives from the host institution(s) can join the Program Committee to ensure coordination on local arrangements. The Program Committee is led by a Chair and Co-Chair who are both from Internet2 member organizations. The Chair will serve for both meetings held in the calendar year with the co-Chair assuming the Chair position the following year.

Term of Service:

Program Committee members serve for six meetings or three years, with approximately half the group rotating off the committee at the end of each Member Meeting. Program Committee membership is done through a volunteer process on an ongoing basis, through a call for interest made prior to each Member Meeting and by appointment from each of the four governing councils. Former program committee members may become eligible to serve again after two meetings following their rotation off the committee, although consideration will be given to individuals who have not served before.

Meetings:

Program Committee meetings will occur primarily via conference calls. Program Committee meetings will be held at each Member Meeting to begin planning the subsequent meeting. Continuing communication between meetings can be expected by email. Internet2 will reimburse travel and accommodations for face-to-face meetings that occur at different times than the Member Meetings.
